What is the Settings Module?

The Settings module is the central configuration hub for your Tawridy organization. It controls everything from basic identity (name, country, currency) to tax configuration, approval thresholds, and third-party integrations. When a new organization is created, Tawridy applies sensible defaults based on the selected GCC country, including the correct tax rate, tax label, currency, and timezone. These defaults can be customized at any time by an Admin user. Settings changes take effect immediately and apply across all modules, ensuring consistency in tax calculations, document formatting, and workflow behavior.

Step-by-Step Guide

General Settings

  1. Navigate to Admin > Settings > General.
  2. Configure the following:
    • Organization Name — your company's legal or trading name.
    • Country — select your GCC country. This auto-applies tax and currency defaults.
    • Currency — primary currency for transactions (auto-set by country, but overridable).
    • Timezone — used for timestamps, report date ranges, and scheduled jobs.
    • Logo — upload your company logo (displayed on PDFs, emails, and the platform header).
    • Address — organization address printed on documents.
  3. Click Save.

Tax Configuration

  1. Navigate to Admin > Settings > Tax.
  2. Review the auto-applied defaults based on your country:

  1. Customize if needed:
    • Tax Rate — adjust the percentage if your organization has a different rate (e.g., zero-rated).
    • Tax Label — the label printed on invoices and documents (e.g., "VAT", "Tax", "GST").
    • Registration Field Label — the label for your tax ID field (e.g., "TRN", "VAT Number").
    • Tax Registration Number — your organization's actual registration number.
  2. Click Save.

Supported Currencies

  1. Navigate to Admin > Settings > Currencies.
  2. View the list of supported currencies: AED, SAR, BHD, QAR, KWD, OMR, USD, EUR, GBP.
  3. Set your Primary Currency (used by default for all transactions).
  4. Optionally enable Secondary Currencies for multi-currency transactions.
  5. Configure exchange rates if using multiple currencies.

Approval Thresholds

  1. Navigate to Admin > Settings > Approval Workflows.
  2. Configure thresholds for each document type (PO, Invoice, Quotation, Supplier AVL).
  3. Define amount tiers and assign approver roles per tier.

Integration Settings

  1. Navigate to Admin > Settings > Integrations.
  2. Configure each integration:
    • WhatsApp — Business Account ID, API Access Token, Phone Number ID.
    • Email — Provider (Resend/ZeptoMail), API Key, From Address, From Name.
    • AI — Toggle individual AI features on/off.
  3. Each integration has a Test Connection button to verify credentials.
  4. Click Save for each integration.

Subscription Management

  1. Navigate to Admin > Settings > Subscription.
  2. View your current plan tier and its features:
    • Starter — basic procurement modules, limited users, no AI.
    • Professional — all modules, WhatsApp/Email integration, AI features.
    • Enterprise — unlimited users, custom roles, priority support, full API access.
  3. View module activation status (some modules are only available on higher tiers).
  4. Contact support or upgrade directly from this screen.

Key Fields Explained

Tips & Best Practices

TIP

Complete all settings during initial onboarding before your team starts creating transactions. Tax configuration, currency, and approval thresholds affect every document generated, and retroactive changes do not update already-posted documents.

TIP

Use the GCC country defaults as your starting point. They are configured based on current tax regulations. Only customize if your organization has specific exemptions or special rates.

WARNING

Changing the tax rate in settings only affects new invoices. Previously posted invoices retain the tax rate that was active when they were created. If tax regulations change (e.g., a country updates its VAT rate), update the setting promptly and communicate the effective date to your team.

  • Store your Tax Registration Number accurately. Incorrect TRN/VAT numbers on invoices can lead to compliance issues and rejected tax filings.
  • Rotate API keys (WhatsApp, Email) periodically for security. Update them in settings immediately after rotation.
  • Review your subscription tier quarterly. As your organization grows, upgrading tiers unlocks AI features, additional integrations, and more user seats.
  • Keep your organization logo and address up to date. These appear on every PDF document shared with suppliers and customers.

FAQ

Q: What happens when I change my organization's country? A: Changing the country resets the tax rate, tax label, registration field, currency, and timezone to the new country's defaults. Existing transactions are not affected. You are prompted to review and confirm the new defaults before saving.

Q: Can I have multiple tax rates (e.g., standard and zero-rated)? A: The organization-level tax rate is the default. Individual invoice line items can be marked as zero-rated or exempt during invoice creation, overriding the default rate for those specific items.

Q: Are API keys visible to all Admin users? A: API keys are masked after entry (only the last 4 characters are shown). Only the user who entered the key can see the full value during initial setup. Other Admins can update the key but cannot view the existing one.

Q: What currencies are supported? A: Tawridy supports AED, SAR, BHD, QAR, KWD, OMR, USD, EUR, and GBP. Multi-currency support is available on Professional and Enterprise tiers.

Q: Can I test integrations without affecting live data? A: Yes. Both WhatsApp and Email integrations have a Test Connection button that sends a test message without creating any records. Use this to verify credentials after setup or key rotation.
