What is the Dashboard?

The Dashboard is your real-time command center for procurement operations. It presents key performance indicators (KPIs), interactive charts, and quick-action shortcuts in a single view, giving procurement managers and leadership instant visibility into what needs attention right now. From open RFQs awaiting supplier responses to overdue deliveries and this month's spend, the Dashboard eliminates the need to navigate across modules to understand operational status. All data updates in real time as transactions are processed across the platform.

Step-by-Step Guide

  1. Log in to Tawridy. The Dashboard loads as your default landing page.
  2. Review the KPI Cards across the top of the screen:
    • Open RFQs — number of RFQs currently awaiting supplier responses.
    • Pending POs — POs awaiting approval or supplier confirmation.
    • Overdue Deliveries — GRNs expected but not yet received past the due date.
    • This Month's Spend — total procurement spend for the current calendar month.
    • Margin Summary — aggregated margin across all customer invoices this month.
  3. Click any KPI card to drill down into the underlying list of records.

Using Charts

  1. Scroll to the Charts Section to view:
    • Spend by Category — pie or donut chart showing procurement spend distribution across item categories.
    • Spend by Supplier — bar chart ranking your top suppliers by total spend.
    • Procurement Cycle Time — line chart tracking the average time from RFQ creation to PO issuance over recent months.
  2. Hover over any chart element to see exact values and percentages.
  3. Click a chart segment to filter the Dashboard to that category or supplier.

Setting Date Ranges

  1. Use the Date Range Picker in the top-right corner to adjust the reporting period.
  2. Choose from presets: This Week, This Month, This Quarter, This Year, or set a Custom Range.
  3. All KPI cards and charts update immediately to reflect the selected period.

Using Quick Actions

  1. Use the Quick Actions panel to perform common tasks without navigating away:
    • Create RFQ — opens the new RFQ form.
    • Add Supplier — opens the supplier registration form.
    • New PO — opens the purchase order creation form.

Start every workday on the Dashboard. The combination of KPI cards and pending approvals gives you a 30-second overview of what needs attention, allowing you to prioritize your tasks effectively.

Use the Overdue Deliveries card as an early warning system. Click through to see which suppliers are late and trigger follow-up messages directly from the delivery list.

WARNING

Dashboard KPI values are based on posted/confirmed transactions. Draft or unsubmitted documents are not included in spend calculations. Make sure your team posts invoices and confirms GRNs promptly for accurate Dashboard data.

  • Compare Spend by Category across different quarters to identify seasonal patterns and plan procurement budgets accordingly.
  • Track Procurement Cycle Time trends to measure the impact of process improvements. A decreasing trend indicates more efficient operations.
  • Use the Quick Actions panel to reduce the number of clicks needed for routine tasks.
  • Bookmark the Dashboard URL for instant access. It respects your last-used date range setting.

FAQ

Q: Can I customize which KPI cards appear on my Dashboard? A: The default KPI cards are fixed for consistency across the organization. Custom dashboards with configurable widgets are planned for a future release.

Q: Why does my "This Month's Spend" not match my invoice totals? A: The spend figure includes only posted supplier invoices within the selected date range. Draft invoices, voided invoices, and customer invoices are excluded from this metric.

Q: Can different users see different Dashboard views? A: All users with Dashboard access see the same layout, but the data is scoped to their permissions. A Buyer sees only their own POs and RFQs, while a Procurement Manager sees the full department view.

Q: How often does the Dashboard data refresh? A: Data refreshes in real time. When a PO is approved, a GRN is posted, or an invoice is recorded, the Dashboard reflects the change immediately.

Q: Can I export the Dashboard charts? A: You can click through any chart to its underlying report, which supports PDF, Excel, and CSV export. Direct chart image export is available via the download icon on each chart widget.
